This policy explains how we collect, use, and protect your personal information. We follow the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).

1. Scope

This policy covers stinkybins.ca, our booking and account system, and the cleaning service. It applies to customers, prospects, and site visitors.

2. Privacy Officer

Our Privacy Officer is reachable at privacy@stinkybins.ca. Our Privacy Officer is responsible for our compliance with BC PIPA and handles access requests, correction requests, and privacy complaints.

3. Information we collect

  • Account and contact details: name, email, phone, password.
  • Service address and property notes: address, tap location, gate codes, access and pet instructions, garbage collection day.
  • Booking and service history: plans, visit dates, bin counts, notes, before and after photos of your bins.
  • Payment information: processed by Stripe. We receive limited details such as card brand, last four digits, and payment status. We do not store full card numbers.
  • Communications: messages you send us and our replies.
  • Technical and usage data: device, browser, IP address, pages viewed, and cookies, as described in section 9.

4. How we use your information

  • To provide, schedule, and deliver the Service.
  • To create and manage your account and subscription.
  • To process payments and send receipts and invoices.
  • To send service messages such as confirmations, reminders, and completion notices.
  • To provide support and respond to requests.
  • To improve the service and our routes.
  • To send marketing messages, only with your express opt-in, with an easy way to opt out.
  • To meet legal, tax, and accounting obligations.

5. Consent

We collect, use, and disclose personal information with your consent, which you give when you book, create an account, or use the site. Withdrawing consent needed to deliver the Service may mean we can no longer provide it.

Marketing consent is separate. We collect marketing consent through a separate, unchecked box at signup. We do not bundle it into booking, and we do not treat it as implied by your booking. You may withdraw marketing consent at any time. Phone numbers we collect for one-time verification codes are used for that transactional purpose only and are not marketing consent; marketing by SMS requires a separate express opt-in from you.

Where the law allows, we may rely on the implied consent of an existing business relationship to send you marketing, but only within the two-year window the law permits after our last relevant transaction, and we track when that window expires. The anti-spam mechanics, including unsubscribe handling and our consent records, are described in the Marketing section of our Terms of Service.

Text messages. When you give us your mobile number and opt in, we may text you. We do not sell, rent, or share your mobile number or your SMS opt-in with any third party or affiliate for their marketing, and no mobile opt-in information is shared with third parties for marketing. We pass your number only to the providers that deliver our texts, such as our SMS gateway, to send the messages you consented to, under agreements that limit their use of it. We text you the verification codes you request and, where you consented, service updates about your bookings (confirmations, clean-day reminders, completion notices, and payment issues) and occasional promotions. Message frequency varies with your activity, and message and data rates may apply depending on your carrier and plan. Reply STOP to any non-verification text to opt out, or HELP for help. Opting out of texts does not close your account or stop our email. Your mobile carrier is not liable for delayed or undelivered texts.

6. How we share information

We do not sell your personal information. We share it only with service providers who help us run the business, under agreements that limit their use of it. The categories are:

  • payment processing (Stripe),
  • email and SMS delivery for service and marketing messages,
  • hosting, analytics, and error monitoring,
  • address and mapping providers used for booking and routing.

We may disclose information if required by law, to enforce our Terms, or to protect our rights, safety, or property.

7. Cross-border processing and transfers

Some of our providers process personal information in the United States. We use providers in these categories:

  • payment (Stripe), for the purpose of charging and refunding you and confirming payment status,
  • hosting, for the purpose of running our site, booking, and account system,
  • email and SMS, for the purpose of sending service messages and, with consent, marketing,
  • analytics, for the purpose of understanding site traffic and improving the service,
  • mapping, for the purpose of booking and route planning.

Some of these providers store or process your information in the United States. When your information is processed there, it becomes subject to the laws of that country and may be accessible to its courts and authorities. We remain accountable for your information when our providers process it on our behalf, and we use agreements that require comparable protection. You can contact our Privacy Officer for specifics about a particular provider or transfer.

8. Security

We use reasonable technical and organizational safeguards to protect your information, including encryption in transit, access controls, and use of reputable processors. No system is perfectly secure, and we cannot guarantee absolute security.

9. Cookies and analytics

We use cookies and similar technologies to keep you signed in, remember preferences, and measure site usage. We use Vercel Web Analytics to understand traffic.

  • Essential cookies keep you signed in and let the site and booking work. These are required for the service to function.
  • Non-essential cookies, including analytics, are optional.

We use a consent banner that lets you accept or decline non-essential cookies before we set them. You can also control cookies through your browser.

10. Retention

We keep personal information only as long as needed, then we delete or anonymize it. Our standard periods are:

  • Financial and tax records: 6 years, as the Canada Revenue Agency requires.
  • Account and service data: 24 months after you close your account.
  • Before and after photos: 24 months, unless you give marketing consent, in which case we keep them while that consent stands.
  • Technical and access logs: 12 months.

11. Your rights, access, and correction

Subject to law, you may:

  • ask what personal information we hold and request access to it,
  • ask us to correct inaccurate information,
  • withdraw consent for non-essential uses,
  • ask us to delete your account and information, subject to records we must keep.

We respond to access requests within 30 business days, and we may take an extension where the law allows, in which case we tell you. We charge minimal or no fee for access to your own personal information. If we refuse a correction you ask for, we annotate the record with your requested correction. To make a request, contact our Privacy Officer. We may verify your identity first.

12. Children

The service is for adults. We do not knowingly collect information from children under the age of majority in BC. If you believe a child gave us information, contact us and we will delete it.

13. Breach notification

If a privacy breach creates a real risk of significant harm, we will notify affected individuals and the relevant authorities as required by PIPEDA and BC PIPA, and we will record breaches as the law requires.

14. Third-party links

Our site may link to other sites. We are not responsible for their privacy practices. Review their policies before sharing information.

15. Changes to this policy

We may update this policy. We will post the new version with a new effective date and, for material changes, give reasonable notice.
